Case Study: Streamlining Youth Program Recruitment
Our team built an automated outreach and enrollment system for Creative by Nature using Zapier, Twilio, and Google Workspace integrations.
Students scanned a QR code during in-person outreach and were immediately guided through a streamlined onboarding flow that included:
• Instant welcome text messages
• Interview scheduling
• Direct staff contact options
• Automated eSignature forms
This allowed program staff to focus entirely on relationship-building and outreach while the backend infrastructure handled communication and intake automatically.
During a single high school lunch period, staff were able to engage more than 400 students face-to-face while the system simultaneously processed signups and confirmations in real time. By the end of lunch, the first group interview session was already more than halfway filled without requiring a single manual follow-up text.
